Overall Job Purpose:
To ensure the smooth running of the clinic by managing all departments in line with C-Care standards. This includes overseeing clinical and administrative care quality, fostering efficient service delivery, and driving business growth while maintaining budget compliance for both revenue and cost control.
Job Requirements:
- Demonstrable leadership skills and business acumen
- Effective communication with the team and application of broader objectives
- Competency in resource budgeting and planning
- Computer literacy, especially MS Office
- Knowledge of Navision
- Ability to work independently
- Proactive problem-solving skills
- Understanding of C-Care philosophy, vision, and strategy
- Excellent interpersonal and communication skills
General Performance Indicators:
- Achievement of business performance indicators, including growth and budget compliance
- Timely report submission (financial, HR, customer care, operational)
- Team adherence to working hours and punctuality
- Efficient operation within budgets
- Full system usage and documentation of downtime
- Staff productivity and clinic profitability
- High patient satisfaction and minimal client complaints
- High employee satisfaction and adherence to work standards
- Consistent feedback and troubleshooting
- Early preparation of leave and appraisal calendars

Specific Performance Indicators:
- Achieving business growth and revenue targets

- Conducting at least four marketing activities per month and expanding services

Roles and Responsibilities:
Operations for the Center:
- Oversee cleanliness, lighting, and aeration
- Maintain sensible care pathways
- Manage repairs and remodeling
- Ensure proper phone management
- Oversee equipment and notice board content
- Ensure up-to-date licensing and records management
- Set security controls for staff and clients
- Manage supply orders, receipt, and accountability
Financial Accountability:
- Agree on and adhere to annual budgets
- Meet revenue targets
- Oversee billing and fraud prevention
- Timely invoice submission
- Report on income and expenditure
- Review service charges/costs
HR Function:
- Advise on staff needs and participate in recruitment
- Conduct staff training and orientation
- Appraise staff on KPIs and standards
- Maintain recognition and reward systems
Communication:
- Implement C-Care strategies and inform strategy development
- Manage service handling information
- Chair and follow up on department meetings
- Attend management meetings
- Ensure efficient morning briefings
- Communicate with external clients as needed
Reporting:
- Submit timely and accurate reports
- Report client-related issues promptly
- Provide weekly/monthly statistics and management reports
- Update the dashboard data daily
Client Relations:
- Promote client satisfaction through regular updates and training
- Manage client dissatisfaction
- Close off client complaints promptly
- Train staff on customer service practices
Marketing and Business Growth:
- Develop and adhere to marketing and business growth plans
- Convert clients into patients and grow direct invoicing clients
- Budget for marketing activities
- Expand services and monitor output
Stock Management:
- Control and manage the cost of sales
- Conduct timely and accurate stock taking
- Document drug consumption accurately
Quality and Sustainability:
- Ensure infection prevention and control
- Maintain updated equipment registers
- Manage outbreak response mechanisms
Culture, Policies, and Processes:
- Maintain confidentiality
