Purpose of the Position

The Finance, HR & Administration Officer is responsible for overseeing financial administration, human resources, and general office administration at the country office. Reporting to the Finance and Administration Manager, you will assist in implementing and maintaining financial and administrative systems in line with Vi Agroforestry’s policies and donor requirements.

General Responsibilities

  • Promote and support the interests of Vi Agroforestry.
  • Contribute to the achievement of the Vi Agroforestry Strategy.
  • Ensure adherence to policies, guidelines, and procedures.
  • Ensure compliance with donor requirements.
  • Maintain high standards of quality and integrity.
  • Report any suspected corruption or fraud.
  • Promote gender mainstreaming and Gender Transformation.
  • Stay updated on relevant developments in your field.
  • Liaise with partners, researchers, and stakeholders.
  • Foster effective cooperation and a positive work environment.
  • Support teamwork and assist as needed.
  • Inform your manager about challenges and progress.
  • Assist with risk management, workplans, and budgets.

Key Responsibilities

Finance:

  • Manage bookkeeping and payments for the country office.
  • Participate in procurement processes.
  • Perform bank reconciliations and manage fund requests.
  • Oversee payroll management and financial monitoring.
  • Support audit processes and compliance issues.
  • Actively engage in anti-corruption initiatives.

Administration:

  • Handle travel arrangements, including tickets, accommodation, and taxis.
  • Maintain office supplies inventory and manage courier services.
  • Support asset maintenance and vehicle-related tasks.
  • Assist with general administrative duties for CM & FAM.

HR:

  • Manage staff leave days, contracts, and reports on additional income/engagements.
  • Handle work-permit administration and staff events.
  • Support staff welfare at the country office.

IT:

  • Organize IT support as needed.

Required Qualifications

Education:

  • University degree in a relevant field.

Professional Qualifications:

  • Knowledgeable in grant management, financial systems, and Microsoft Office applications.
  • Familiar with audit requirements and compliance issues.

Work Experience:

  • Minimum of 5 years in financial management within NGOs.
  • At least 2 years in results-based project management.

Languages:

  • Proficiency in English.
  • Knowledge of Kiswahili is an advantage.
