Job Summary:
The Accounts Payable Officer is responsible for ensuring that all payable information is readily available, resolving supplier queries, facilitating timely payments, and verifying that invoices are accurate and due. This role requires meticulous attention to detail and strong organizational skills. The role does not involve supervising other staff members.
Duties and Responsibilities:
- Supplier Accounts:
- Capture and process all supplier invoices.
- Conduct 100% creditors reconciliations, obtaining monthly sign-offs from suppliers.
- Manage payments (via Flexy, cheques, and bank-EFT) ensuring no unposted payments exceed 10 days.
- Ensure timely payment approvals and manage creditor reconciliations to avoid long outstanding items.
- Obtain and review monthly supplier statements.
- Ensure payment terms align with the Group policy of 60 and 120 days.
- Apply appropriate tax treatments for payments and manage supplier relationships effectively.
- Financial Administration:
- Provide administrative support to internal and external customers and suppliers.
- Ensure timely creditor payments within agreed terms, obtaining discounts where possible.
- Process invoice receipts promptly and automate petty cash processes.
- Centralize invoice receipt processes to finance and ensure timely balance sheet reconciliations.
- Maintain organized and filed supporting documentation.
